1. Translation Fee Calculation

Translation fees are calculated based on the word/character count of the source document.

Fees may vary depending on:

• The technical complexity of the content
• Urgent turnaround requirements

Translation fees do not include:

• Special formatting adjustments upon request, such as document design, advanced PowerPoint formatting, etc.
• Printing or hard-copy production fees
• Notarized translation or translation certification fees

2. Translation Revision
One free revision is included for each translation, excluding changes to the source content.

3. Holiday/Tet Service Fee
A 200% service fee applies for work performed on public holidays or Tet holidays in accordance with regulations.

4. Translation Service Cancellation Policy

• Cancellation before translation begins: the deposit will be forfeited.
• Cancellation after partial translation has been completed: fees will be charged based on the completed volume.
• Cancellation after the translation has been completed: 100% of the service fee will be charged.

Pivie is committed to ensuring high-quality specialized interpretation services in the field of Traditional Medicine, together with professionalism and transparency in organization — including close coordination processes, clear terms, and the capability to meet high-level requirements, if any, from our valued Partners.

In addition, we would like to provide our Partners with further information regarding service fees and policies to ensure transparency, clarity, and consistency throughout the cooperation between both parties as follows:

1. The quoted fee applies per working hour and will be multiplied according to the total actual working duration.

2. The service fees stated above apply only to events held in person in Hanoi and Ho Chi Minh City. For events taking place in other provinces/cities or outside Vietnam, detailed pricing will be provided after we receive all relevant information.

3. The service fees above do not include value-added tax (VAT), transportation expenses, and meal expenses for the interpreter, if any.

4. In case of additional time beyond the expected duration stated in the signed Contract, the additional fee shall be calculated as follows:

• Additional time under 15 minutes: free of charge.
• From 15 to under 30 minutes: rounded up to 0.5 working hour.
• From 30 minutes onward: rounded up to 1 working hour.
• Overtime fee: 150% of the standard service fee, calculated based on the hourly rate for each additional working hour.

5. Pre-interpretation preparation fee: In cases where the interpreter is required to attend preliminary meetings or working sessions, either in person or online, to prepare for the interpretation content:

• Online meetings lasting under 15 minutes: supported free of charge by Pivie.
• Other cases: fees will be calculated separately and agreed upon in advance in the contract, depending on the content and format.

6. Policy for work performed on public holidays and Tet holidays: in accordance with current government regulations, a service fee of 200% compared with normal working days shall apply.

7. Interpretation schedule cancellation policy:

• Cancellation timelines are calculated based on working days, from Monday to Friday, excluding public holidays and Tet holidays, and counted backward from the event date.
• The cancellation policy only takes effect after the Contract has been duly signed by both parties and has come into force. Cancellation shall only be recognized upon official email notification sent to Pivie’s representative during business hours, from 9:00 AM to 6:00 PM.
